Moving from QuickBooks Desktop to QuickBooks Online is common once a business wants remote access or outside accountant collaboration. Here is what the move actually involves.

What Transfers

QuickBooks has a built-in export tool that moves your chart of accounts, customers, vendors, and transaction history from a Desktop company file into a new Online company. Most standard data transfers cleanly; very large files (many years of history) sometimes need to be trimmed to a shorter date range first.

What Does Not Transfer as Cleanly

  • Custom Desktop reports do not carry over — Online has its own reporting engine you will need to rebuild favorites in.
  • Some industry-specific Premier Plus features do not have a direct Online equivalent.
  • Certain third-party Desktop add-ons will need an Online-compatible replacement.

Before You Migrate

  1. Back up your Desktop company file.
  2. Decide which Online plan fits your team — see our Online editions comparison.
  3. Run the migration on a copy first if possible, and check your key reports match before switching over fully.

Do You Have To Switch?

No — plenty of businesses stay on Desktop indefinitely and there is nothing wrong with that if it suits how you work. Only migrate if you specifically need remote/multi-location access or easier accountant collaboration.
