One of the most common questions we get is: “do I need the 1-user license or the 3-user license?” Here is how QuickBooks user counts actually work.
What Counts as a “User”?
A user license lets one person be logged into the company file at the same time as the others included in your license. It is about simultaneous access, not the total number of employees at your company. A business with 20 employees but only 2 people who ever touch QuickBooks at the same time only needs a 2-3 user license.
Typical Setups
- 1 user — a sole owner or single bookkeeper who manages the books alone.
- 2-3 users — an owner plus a bookkeeper, or a small office where a couple of people need access at once.
- Enterprise Silver (3), Gold (5), Platinum (10) — growing teams where accounting, sales, and management all need simultaneous access.
QuickBooks Online Is Different
On QuickBooks Online, the user limit works the same way but scales differently by plan: Simple Start is 1 user, Essentials up to 3, Plus up to 5, and Advanced up to 25.
