Once more than one person needs to work in your books, you need to understand how QuickBooks multi-user setup actually works — it is slightly different on Desktop vs Online.
Desktop Multi-User Mode
On Desktop editions, the company file is usually hosted on one computer (or a small server), and other licensed users connect to it over your local network using QuickBooks Database Server Manager. Everyone connecting at the same time counts against your license’s user limit — a 3-user license supports up to 3 people working in the file simultaneously.
Online Multi-User Access
On QuickBooks Online, there is no local network setup required — each licensed user simply logs in from their own browser or device from anywhere. The user count still caps how many people can be actively logged in under your plan (e.g. Plus supports up to 5).
Common Setup Mistakes
- Buying a 1-user license and then trying to add a second person later without upgrading — you will hit the limit and need to upgrade anyway.
- On Desktop, hosting the company file on an underpowered computer that slows down badly once 2-3 people connect.
- Not giving each person their own login — sharing one login makes it impossible to track who did what.
Planning Ahead
